Lotus Notes - Web Access

Lotus Notes Web access combines most of the same functionality of Lotus Notes in the office with the convenience of the Web. You can send and receive mail, view your calendar, invite people to a meeting, manage your to do list and access the contacts and mailing lists in your personal address book.

How to Access

Go to the following Web site: https://notes.cc.sunysb.edu/login.nsf

You can also access it from the Quick Link on our Information Technology homepage (www.stonybrook.edu/it) or the University homepage (www.stonybrook.edu, click Faculty/Staff).

At the sign on screen:

  • Enter your Lotus Notes Username and your Notes Internet Password
  • Click the Access Server button
  • You may be prompted to enter your username and password again
  • Click the link to your mail file
  • Note: In most cases your Notes Internet password is the same as the Notes password that you use to access Notes from the computer in your office. If at any point you change your Notes password, the Notes Internet password does not automatically change. If you would like to keep your Notes Internet password the same as your new Notes password, or if you just don't remember your Internet password, you can go to SUNYSB's Address Book and change it (.pdf)

You may now work in your Mail, Calendar, To Do List and other databases.

The interface will be slightly different than the one you are used to seeing at work. You should however find it fully functional.

  • If the Security Warning dialog box is displayed you must click "Always trust content from IBM" and then click "Yes." If you do not click "Yes" you will not have access to all of the functionality in Notes Web mail.
  • If you have a pop-up blocker installed you may have to select the option to "always allow pop-ups from this site."
  • If you are prompted to install ActiveX follow the directions to do so.

Synchronize Your Local Databases

The Notes databases that are stored locally on your computer (your Notes Archive, Contacts and Personal Journal/Notebook) are not available on the Web.

  • You must synchronize the Personal Journal (Notebook) so that you can access it from the Web. From Notes in your office, click the Actions menu, select Lotus iNotes and then Synchronize Notebook
  • You must synchronize your Contacts so that you can access them from the Web

Help

If you are an experienced Notes user you will have no problem using Notes on the Web. If you need help, click the Help button in the upper right hand corner of the Notes Web page. This opens the Notes Help database to a topic related to the function that you are currently working in.
